Simul One Privacy Policy

Simul One is an internal workforce, project and equipment operations application operated by Simul Europe GmbH (“Simul Europe”, “we”, “us”). Access is limited to accounts created and authorised by Simul Europe.

Information we process

• Account information, such as name, work email address, role and access permissions.
• Workforce information, such as schedules, attendance, check-in and check-out times, leave, sickness status and project assignments.
• Location information when an authorised user uses location-based attendance features. Location is collected only when the relevant feature is used and device permission is granted.
• Project and operational information, including tasks, messages, files, equipment allocations, inventory scans, checklists and logistics records.
• Expense and per-diem information submitted for business administration.
• Device and notification information needed to provide application security, diagnostics and push notifications.

How we use information

We process information to authenticate users, manage staff and projects, coordinate equipment and logistics, record attendance and expenses, deliver notifications, maintain security, troubleshoot problems and comply with business and legal obligations.

Legal basis

Where applicable under the GDPR, processing is based on performance of employment or service agreements, our legitimate interests in operating and securing our business, compliance with legal obligations, and consent where consent is required, including device permissions.

Sharing and service providers

Information is available only to authorised Simul Europe users according to their assigned role. We may use contracted hosting, database, authentication, file-storage, notification and technical-support providers to operate the service. We do not sell personal information and do not use it for third-party advertising.

Retention

We retain information for as long as an account is active or as needed for workforce, project, accounting, security and legal purposes. Retention periods may vary according to the type of record and applicable legal requirements. Information is deleted or anonymised when it is no longer required.

Security

We use access controls, authenticated accounts, role-based permissions and appropriate technical and organisational safeguards. No method of electronic storage or transmission is completely secure.

Your rights

Depending on applicable law, you may request access, correction, deletion, restriction, portability or objection to processing of your personal information. You may also withdraw consent where processing relies on consent. Requests may be subject to legal retention obligations.

Account and data deletion

Users cannot create accounts themselves. To request account deactivation or deletion of eligible personal data, contact Simul Europe using the address below. We will verify the request and respond in accordance with applicable law.

Children

Simul One is a business application and is not intended for children.

Changes to this policy

We may update this policy when our services or legal requirements change. The current version and effective date will remain available on this page.
